# What is Presentation Room?

On-Premises Solution for Seamless, Engaging Presentations

Designed for business meetings and boardrooms, this tool is all about enhancing your presentation experience while keeping things simple. Think of it as your personalized instrument for organizing streamlined meetings and engaging audiences.

You can use Presentation Room for:

* Boardroom discussions where every detail matters
* Business meetings to impress clients and close deals
* Any other scenarios where you need to present and collaborate effectively

Our solution is made up of two key components: a client app available for iOS and Mac Silicon, which you can [download for free from the App Store](https://apps.apple.com/app/apple-store/id1454909111), and a presentation server that can be set up on-premise.&#x20;

The server can operate within your closed corporate network or, as many of our clients prefer, on a separate Wi-Fi network dedicated solely to Presentation Room. This network typically includes iPads, Apple TVs, and the MacBook running the server. No internet connection is necessary for this configuration to work.

The platform is quick to deploy and offers remarkable versatility. You can set up a cutting-edge meeting room from scratch, extend an existing conference room, or even run on-the-go presentations in the field (just bring a big case, wink). Plus, you can rest easy knowing that all your corporate data stays private and secure.

# Quick Start Guide

Before diving in, let's clarify the key functions of the app.

The application includes three main roles:

* **Organizer**: Sets up the meeting, adds documents, selects the presenter, and initiates voting and polls.
* **Participant**: Participants are audience members who actively engage with the presentation.
* **Presenter**: A participant chosen by the Organizer to lead the presentation.

To fully utilize the app, you'll need at least three devices — three iPads or two iPads and a Mac with Apple Silicon, one for each role.

To get a quick feel for the Presentation Room app, simply [download it from the App Store](https://apps.apple.com/app/apple-store/id1454909111) onto your iPads or Mac (for the Organizer role) and launch it.&#x20;

<figure><img src="https://3054748203-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FjC5Cqw9pDP9bAB5yb4qa%2Fuploads%2F5pONeow2hRDlFiPnlHNe%2Fstart%20screen.png?alt=media&amp;token=711a602c-a463-4089-b904-760c9c1361fe" alt=""><figcaption><p>Ready? Let's get started!</p></figcaption></figure>

For a quick demo, the application uses our cloud server (presentation.rapport.tech) by default. This allows you to experience the app's features without any initial setup.

# Organize

Easily Set Up Your Meeting Session

When you open Presentation Room on the device designated as the Organizer, your initial step is to tap the **Organize** button. Doing so connects your device to the server, automatically creating what we call a *Common Group*. This group serves as the central hub for your meeting, allowing Participants to easily connect and engage without the need for manual setup or invite codes.

<figure><img src="https://3054748203-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FjC5Cqw9pDP9bAB5yb4qa%2Fuploads%2F1n6DdEpWmyr10KXtwSCF%2FRocketSim_Recording_iPad_Air_2023-09-11_1.45.43_PM.gif?alt=media&amp;token=c7952230-01eb-4ee0-9a0b-0d72f7b5772e" alt=""><figcaption><p>Tip: Tap on group's title to show action menu</p></figcaption></figure>

### Adding Presentation Documents

While the Organizer role has many features, your first task is to add the presentation document to the Common Group. To do this, tap the **Documents** button to view the group's current presentation assets. Since it will be empty initially, tap **Add More Documents...** to see a list of shareable documents available on the server. Select the ones you want and tap **Add Selected** to add them to the Common Group.

<figure><img src="https://3054748203-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FjC5Cqw9pDP9bAB5yb4qa%2Fuploads%2FoGMnuhoNyPd3jUn0hMbu%2FRocketSim_Recording_iPad_Air_2023-09-11_2.05.53_PM.gif?alt=media&amp;token=2244a1ad-ea25-4c8f-98f2-bdeb3086caf3" alt=""><figcaption><p>Tip: To preview a document, tap the Info button.</p></figcaption></figure>

{% hint style="danger" %}
On our cloud server, there is only one test document available: "Welcome.pdf" To add your own documents, you'll need to run an on-premises, fully functional demo server on your Mac. To request one, simply email us at <mail@rapport.tech>.
{% endhint %}

As soon as you add the presentation document to the Common Group, it syncs across all Participants. This ensures that anyone new who joins is also up-to-date and ready for the presentation.

# Join

Connecting to the Presentation

Joining a Presentation Room meeting couldn't be easier. As a Participant, all you need to do is launch the app and tap the **Join** button. The app will automatically detect the Organizer's device on the same Wi-Fi network and connect you to its public shared Common Group. From there, all the necessary documents will sync to your device, ensuring you're ready for the presentation.

<figure><img src="https://3054748203-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FjC5Cqw9pDP9bAB5yb4qa%2Fuploads%2F1MLdQxetW1x15KUqZ8EG%2FRocketSim_Recording_iPad_Air_2023-09-11_3.40.03_PM.gif?alt=media&amp;token=addaeb91-131b-4983-b679-7e144010d983" alt=""><figcaption><p>It just works!</p></figcaption></figure>

{% hint style="danger" %}
The auto-join feature relies on the [Bonjour protocol](https://developer.apple.com/bonjour/), which most Wi-Fi networks support. However, in rare cases, strong corporate network policies might prevent it from working. If your device doesn't automatically find the presentation, there's a Plan B: you can join by scanning a QR code provided by the Organizer.
{% endhint %}

Once you've successfully joined and synced your device, you're all set to go. You'll simply wait for the Organizer to assign a Presenter. When the presentation is opened by the host, it will simultaneously open on your device, keeping everyone on the same page.

# Present

Lead Your Presentation with Ease

When you're selected as the *Presenter* by the Organizer, you're in charge. As you open the document, it will automatically appear on everyone else's screens. You'll have control to scroll through slides, zoom in and out, use a laser pointer, and make annotations for all to see.

<figure><img src="https://3054748203-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FjC5Cqw9pDP9bAB5yb4qa%2Fuploads%2FXJw5Q7cXORlddxFcjvuF%2Fpresent.gif?alt=media&amp;token=4be5421b-c572-40b4-bba8-dc947f878af0" alt=""><figcaption><p><em>Tip: Use the touch interface for next-level engagement during your presentation.</em></p></figcaption></figure>

> This is more than just a tool for showing slides; the real value here is in the Presenter-Listener connection. It's a new format for live, trust-based presentations. With this product, we conduct corporate training sessions with voting, receiving both results and positive feedback.

### Let's recap:

Get three devices ready — one for the Organizer, Participant, and Presenter.

1. **Organizer**: Adds the presentation document and selects a *Presenter*.
2. **Participants**: Join and sync up.
3. **Presenter**: Opens the document, which shows on all devices at the same time.

With these steps, you're well-equipped to run a seamless, synchronized presentation. Other features can enhance your experience, but this is the heart of it. Simple as that, you're presentation-ready!

# General

### **What Devices are Compatible with Presentation Room?**

Presentation Room is primarily designed for iPads and requires iOS 12.4 or later. It also runs on Mac computers equipped with Apple Silicon. As for setting up the server, you'll need a Mac running macOS 12 or later, and this can be either an Intel or Apple Silicon-based Mac.

### **Is Internet Connection Required?**

While the demo version uses our cloud-based server to help you quickly familiarize yourself with the app, the full-functionality version doesn't require Internet access. You can operate entirely on your local network by setting up an on-premises server running on your Mac. This means you can use all the features without needing to connect to the Internet.

### Do All Participants Need to Be in the Same Physical Location?

Our solution is optimized for in-person settings where people gather in the same space, such as boardrooms or conference rooms, but also offers flexibility for hybrid meetings. For remote participation, you can run the app within a VPN, allowing external devices to connect as if they were on the same local network.

### Is My Data Secure?

Security is a cornerstone of Presentation Room. We employ HTTPS protocol for secure data transfer, ensuring that all data transmitted is encrypted. If you're using our on-premises server solution, rest assured that all your data remains on your local network and is never transmitted to any third-party servers. Additionally, cached documents on participant devices are automatically removed after the presentation ends and all participants have left the session. For an extra layer of security, you can set up a private group where the Organizer controls participant access manually.

# How Fast is Deployment?

Deployment speed can vary depending on your specific requirements, but Presentation Room is designed for quick and simple implementation. Here's a general outline:

1. **Hardware Requirements**: Ensure all devices meet the [minimum system requirements](/faq/general#what-devices-are-compatible-with-presentation-room). Most likely, they will if you're using relatively new iPads and Macs.
2. **Software Installation**: [Download the Presentation Room app](https://apps.apple.com/app/apple-store/id1454909111) on all necessary iPads and also install the server app on a designated Mac.
3. **Network Configuration**: Make sure that your Wi-Fi network supports the Bonjour protocol. If not, you'll need to update your network settings or plan to use the QR code feature for initial connections.
4. **Initial Test**: Conduct an initial test with a small group to make sure everything is running smoothly.
5. **Staff Training**: Brief your staff on how to use Presentation Room. The intuitive design should make this process quick and straightforward.
6. **Full Deployment**: Once everything is confirmed to be working as expected, you can roll it out across your organization.

Typically, the whole process can be completed in a matter of hours to days, not weeks.

# Participant Auto Join Issues

If participants are having trouble automatically joining the presentation session, there are a few things to consider:

1. **Bonjour Protocol**: First, make sure your Wi-Fi network supports the Bonjour protocol.
2. **Network Connection**: Confirm both the Organizer and Participant devices are on the same Wi-Fi network.
3. **Latest Version**: Make sure all devices are running the most recent version of the Presentation Room app.
4. **QR Code as Plan B**: If the automatic join feature is not working, the Organizer can display a QR code. Participants can scan this code to quickly join the session. To display the QR code, go to the current group action menu and select **Show QR Code**. Participants can then scan this using the Scan QR Code option in their app.
